Best offline transcription software for Windows in 2026
Offline transcription software turns interviews, lectures, calls and videos into text on your own PC, so the recordings never leave it. That matters for research data, client calls and anything under a confidentiality agreement. This list compares the Windows apps that do it, and the cloud and Mac apps people often ask about. We make Saypane, so read our entry with that in mind; facts about the other apps come from their own websites, store listings and GitHub pages as read on 27 October 2026.

Saypane: transcription and dictation in one app
Drop audio or video files (MP3, MP4, M4A, WAV, MOV and more) or record a meeting with your microphone and PC sound together. Long files are split at pauses and checked for repetition loops, a common failure of Whisper on hour-long recordings. The free version transcribes the first 15 minutes of every file as a complete transcript with TXT export. Pro adds any length, speaker labels, meeting recording, a batch queue and SRT, VTT, DOCX and JSON export. The same app does free hotkey dictation into any program.
Vibe: the free option with speaker labels
Vibe is free and open source for Windows, Mac and Linux, with speaker labels, microphone and PC sound recording, and batch processing. If you need free local transcription with speakers and no dictation, start here. Saypane vs Vibe.
Buzz: free, open source, many models
Buzz transcribes files and live microphone audio with Whisper, whisper.cpp, faster-whisper or compatible Hugging Face models. Speaker labels are not listed. Saypane vs Buzz.
WizWhisp: cheap and simple in the Microsoft Store
WizWhisp transcribes files offline with Whisper on CUDA, Vulkan or the CPU. Small models are free; Pro is $9.99 once. It does not identify speakers and has no dictation. Saypane vs WizWhisp.
Spokenly and OpenWhispr: dictation apps that also take files
Both are mainly dictation apps that also transcribe uploaded audio with local models. Spokenly's store listing mentions speaker labels and SRT or VTT export; OpenWhispr lists speaker labels on every plan and records meetings without a bot. Saypane vs Spokenly, Saypane vs OpenWhispr.
